Privacy Policy
We want you to understand what information HamroColleges may use, why we use it, when it may be shared, and the choices you have. We aim to collect only what is reasonably needed to provide, protect and improve our services.
Last updated: 14 September 20261. Who we are
HamroColleges operates hamrocolleges.com and provides online tools, calculators, converters, information, articles and account/profile features. In this policy, “HamroColleges”, “we”, “us” and “our” refer to the operator of HamroColleges.
This policy applies when you visit our website, create or use an account, save content to your profile, use our tools, contact us, comment, or otherwise interact with HamroColleges.
2. Information we may collect
| Category | Examples | Why we may need it |
|---|---|---|
| Account & profile | Name/display name, email address, account identifiers, profile preferences and information you choose to save. | To create and manage your account, provide profile features and restore your saved preferences. |
| Saved content | Drafts, converted text, saved tool results, files or images that you deliberately choose to save to your profile. | To provide the save/history features you request. |
| Tool inputs | Text, dates, numbers, documents, PDFs, images or other information you enter into a tool. | To perform the requested conversion, calculation, editing or other tool function. |
| Technical data | IP address, browser/device type, operating system, approximate location derived from IP, timestamps, referring pages, error and security logs. | Security, fraud/spam prevention, troubleshooting, performance and site operation. |
| Location | Precise device location only when a feature requests it and you grant permission; otherwise a search location or approximate IP-based location may be used. | To provide location-based features such as local weather. |
| Communications | Messages, enquiries, feedback, comments and information you send to us. | To respond, moderate content and provide support. |
| Usage & preferences | Pages/tools used, language choice, display preferences, consent choices and similar interactions. | To remember settings, understand usage and improve HamroColleges. |
3. Online tools, files and saved results
HamroColleges includes tools such as PDF/document tools, image tools, Nepali text converters, calculators, date tools and other utilities. How data is handled depends on the tool.
- Browser-based processing: where a tool can complete its work on your device, the input may be processed locally in your browser without needing to be permanently stored by HamroColleges.
- Server or third-party processing: some functions may need to send limited information to our server or a service provider/API in order to return a result. We aim to send only what is needed for that function.
- Save to profile: when you deliberately choose a save, history or profile feature, the relevant file, result or preference may be stored with your account so you can access it later.
- Temporary files: files that are required only to complete a processing task should be treated as temporary and removed when no longer reasonably needed for that task, security, troubleshooting or legal obligations.
Because different HamroColleges tools may use different technical methods, a notice shown inside a particular tool may provide additional information and will apply together with this policy.
4. Location information
Some features, such as weather, may offer “use my location”. Precise device location is requested through your browser/device permission system and should only be used after you allow it. You can deny or revoke location permission through your browser or device settings. You may normally use a manually entered place instead where the feature supports it.
We may also receive an approximate location from technical information such as your IP address for security, localisation or general analytics.
5. Cookies, local storage and analytics
HamroColleges may use cookies and similar browser storage for essential functions such as sign-in, security, session management, remembering language/preferences, consent choices and saved local settings.
We may also use analytics or measurement technologies to understand how visitors use HamroColleges and to improve performance and content. Where UK law requires consent for non-essential cookies or similar technologies, they should not be used until the visitor has been given the required choice.
You can control cookies through our available consent controls and through your browser settings. Blocking essential cookies may prevent account or site features from working correctly.
6. Advertising and external content
HamroColleges may display advertising and may embed or link to content or services provided by other organisations. Advertising, embedded content and external services may use their own cookies or similar technologies where permitted and may receive technical information when their content loads.
Non-essential advertising or tracking technologies are subject to applicable consent requirements. Third-party services have their own privacy practices, and we encourage you to review them when you use those services.
7. When information may be shared
We do not sell your personal information. We may share limited information when reasonably necessary with categories of recipients such as:
- hosting, infrastructure, security, backup and technical service providers;
- analytics, advertising or consent-management providers, where enabled and legally permitted;
- APIs or external service providers required to provide a feature you request;
- email or communication providers used to deliver account or service messages;
- professional advisers, regulators, courts or public authorities where required by law or necessary to protect legal rights, users or the service; and
- a successor organisation if HamroColleges is reorganised, transferred or sold, subject to appropriate protections.
Some providers may process information outside the United Kingdom. Where applicable, we aim to use an appropriate lawful transfer mechanism or other safeguard required by UK data-protection law.
8. Why we use personal information
Depending on the feature and circumstances, our lawful basis may include:
- Contract: where processing is needed to provide an account or service you ask us to provide.
- Legitimate interests: for reasonable purposes such as operating, securing, troubleshooting and improving HamroColleges, preventing abuse, and understanding service performance, where those interests are not overridden by your rights.
- Consent: where you choose to grant permission, for example for certain non-essential cookies, marketing, or device location where applicable. You may withdraw consent at any time.
- Legal obligation: where we need to keep or disclose information to comply with applicable law.
9. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing requested account/profile features, maintaining security, resolving disputes and meeting legal obligations.
- Account/profile information may be kept while the account remains active and for a limited period afterwards where necessary.
- Content deliberately saved to a profile may remain until the user deletes it, the account is deleted, or retention is otherwise no longer necessary.
- Temporary processing files should be deleted after the relevant task and operational need have ended.
- Security, error and technical logs may be kept for a limited period appropriate to security and troubleshooting needs.
- Information required for legal claims, fraud prevention, accounting or regulatory obligations may be retained for the period required by law or reasonably necessary for those purposes.
Backups may retain deleted information for a limited additional period until normal backup rotation removes it.
10. How we protect information
We use reasonable technical and organisational measures designed to protect information against unauthorised access, alteration, disclosure, loss or misuse. No website, internet transmission or storage system can guarantee absolute security, so users should also protect their account credentials and devices.
11. Your data-protection rights
Depending on the circumstances and lawful basis, UK data-protection law may give you rights to request access to your personal information, correction, deletion, restriction of processing, data portability, or to object to certain processing. Where processing relies on consent, you can withdraw that consent.
Your right to object: where we rely on legitimate interests, you may have the right to object to that processing. You also have the right to object to the use of your personal data for direct marketing.
We may need to verify your identity before completing a request. Some rights are subject to legal exemptions.
If you have concerns about how we handle personal information, please contact us first so we can try to resolve them. You also have the right to complain to the UK Information Commissioner’s Office (ICO).
12. Children’s privacy
HamroColleges provides general educational and utility content that may be useful to students. We do not intend to knowingly collect more personal information from children than is necessary. Features directed at or likely to be used by children should use clear, age-appropriate privacy information and appropriate safeguards. Parents or guardians may contact us if they believe a child has provided personal information that should be reviewed or deleted.
13. External websites
HamroColleges may link to external websites. We are not responsible for the privacy practices or content of websites operated by other organisations. Their privacy policies apply when you leave HamroColleges or use their services.
14. Changes to this policy
We may update this policy when our tools, data practices or legal obligations change. The “Last updated” date at the top shows when this version was revised. Where a change materially affects how we use personal information, we will take reasonable steps to bring it to users’ attention where required.
15. Contact HamroColleges
For privacy questions, access/deletion requests or other data-protection concerns, use the contact method published on HamroColleges. To help us locate your information, include the email address associated with your account where relevant, but do not send passwords.

Before publishing, HamroColleges should add a dedicated privacy contact email and, if applicable, the legal name and postal/contact address of the person or organisation acting as data controller.
